Subscription Management in HubSpot
HubSpot serves as the central platform for managing all subscription preferences, with each customer able to subscribe to various communication channels, including project-specific updates, corporate newsletters, and SMS campaigns.
This article provides guidelines on managing and maintaining these preferences within HubSpot.
Subscription Preferences
Subscription Categories
Cedar Woods maintains three key categories of subscriptions:
- Project News and Updates: Subscribers receive the latest updates specific to individual projects, including nurture emails, development milestones, community features, special events, and offers. This category ensures subscribers stay informed about all relevant happenings regarding the projects they are interested in.
- Buyer Updates: This category is dedicated to existing purchasers and potential buyers, providing updates on their purchases, including development updates, title information, and important reminders about their property.
- SMS: All subscribers are automatically opted-in to receive SMS communications related to project updates and important notifications.
Project Subscription Preferences
In addition to the categories above, subscribers can manage their preferences for Cedar Woods’ projects independently, allowing them to opt in and out of specific projects without affecting other subscriptions. This ensures they receive only relevant communications.
Unsubscribing from one project will not remove them from corporate communications or updates from other projects.
Project subscription preferences are the primary filter for determining whether communications can be sent to a customer and should be applied to all lists.

For example:
- A subscriber may opt to receive updates only for Ariella Private Estate while unsubscribing from Harrisdale Green communications.
Processes
Cedar Woods must ensure that all unsubscribe requests are handled promptly and accurately.
Customer-Driven Unsubscribing
Customers can manage their subscription preferences directly through the following methods:
'Manage Your Preference' Access:
Subscribers can access their preferences via the 'Manage Your Preferences' link.
Within the preference centre, customers can see all the projects they are subscribed to and can choose to unsubscribe from specific projects. This allows them to tailor their communications to suit their interests without losing access to other relevant updates.
This custom module should be on ALL eDMs and cannot be removed. It is vital that this link is reviewed regularly to ensure the links are functioning correctly.
Full Opt-Out Option: Subscribers also have the option to fully opt out of all communications by selecting any or all of the following categories:
- Project News and Updates: Unsubscribing will stop all updates related to specific projects.
- Buyer Updates: Unsubscribing will halt all communications regarding purchase-related information.
- SMS: Unsubscribing from this category will stop all SMS notifications.
Customer-Requested Unsubscribing
In addition to customer-driven options, Cedar Woods accommodates subscriber requests to unsubscribe through various channels.
Upon receiving a customer-requested unsubscribe, either directly or via the sales team, the marketing team will be required to manually update the subscriber's preferences in HubSpot within 2 working days.
To opt out contacts from receiving future emails.
- In your HubSpot account, navigate to CRM > Contacts.
- Click the contact's name.
- Click the Actions dropdown menu and select Opt out of email.
- Confirm you want to perform this action and choose Yes, opt them out. This contact will now be opted out of all future emails from your account.
Note: Please do not opt customers our of receiving communications in CRM. All actions should be done in HubSpot.
Resubscribing Purchasers
If a customer wishes to re-engage with our communications after opting out, we have established a straightforward resubscription process for leads and purchasers.
There are three options to resubscribe depending on the scenario.
Opting Back In via Old Emails
Customers can easily resubscribe by finding an old email from Cedar Woods and updating their subscription preferences that way to 'opt back in'. This method allows them to regain access to communications relevant to their interests.
Manual Resubscription by Cedar Woods Team
If a customer has been manually unsubscribed by a Cedar Woods member, the team can resubscribe them using the following steps:
- In your HubSpot account, navigate to CRM > Contacts.
- Find the customer card using the search bar and select the check box next to the record.
- Click 'edit communication subscriptions' and fill out the information accordingly.
Add a Note: It is essential to document this action by adding a note to the contact record, indicating that the subscriber has given permission to receive communications again. This note serves as a record for future reference and compliance. If possible, include an attachment of consent (e.g. PDF version of the email requesting to be opted in).
Resubscribe Landing Page
* Please note, this process is only relevant for Legacy data.
If neither of the above processes is applicable, the marketing manager must resubscribe customers through the dedicated Resubscribe Landing Page: Cedar Woods Resubscribe Page.
The process is as follows:
- Enter Email Address: The marketing lead should visit the page above and input the customer's email address on the landing page.
- Click Opt-In Link: After entering the email, they must click the opt-in link provided. The link says: "Looks like you've opted out of email communication.
- Confirmation Email: The customer will receive a confirmation email that acknowledges their request to opt into receiving communications.
Please note: until the customer opts back in via this email, they will not be able to receive any communications.
