Create SMS Campaign
Creation and Configuration Steps
We use Message Media to send to our SMS-enabled contacts. In order to send your first campaign, you will need to create a list of contacts that include any opted-in reference for Message Media. Stage 2 is creating a basic workflow that will enrol and trigger the SMS send.
Form Creation
Marketing > Lead Capture > Forms.
SMS Campaign Creation
Start with creating a list.
Step 1:
- Navigate to Contacts > Lists> Create New
- Select the Static List option - this will ensure that no other contacts are added that meet the condition later and automatically send an old SMS message
- Name your list and save (EG: Bushmead General SMS List)
- Select "Add Filter Group" > select Contact Properties > then search for "SMS Opt Out/In" and scroll and select "Is equal to any of" and enter the type exactly as "Opted In"
- Continue to filter your list as normal. Keep in mind that when sending an SMS to a list that you want to filter by Project Estate ID, you will need to select "Deal Properties" as your next option > and then search for Project Estate ID
Tracking
Create a trackable short URL:
Step 2:
- Navigate to Settings> Tracking & Analytics > Tracking URLs
- Create New URL
- In the right panel, set up your tracking URL.
- Enter a valid URL for your page (https://www.cedarwoods.com.au/bushmead/property-for-sale/land-for-sale/)
- Click the UTM campaign dropdown menu and select a campaign you want visits to this tracking URL to be bucketed under in your analytics tools. If you haven't created a campaign see this article.
Please note: a campaign name is required when creating and tracking a URL because the campaign name is used in several reports in HubSpot. Visits to the tracking URL will be attributed to this campaign in the sources report and will count towards the analytics for the campaign in the campaigns tool.
- Click the Source dropdown menu and select the source for your tracking URL. This will affect where the visit will be categorised in your analytics, including the traffic analytics tool.
- Other campaigns: select and enter a Custom UTM Source. This is best when using the SMS function. (e.g., BUSH_SMS_Campaign_1)
- Click Create. If you want to create another tracking URL immediately after, click Create and add another.
SMS Workflow
Create a new SMS workflow:
Step 2:
- Navigate to Automations > Workflows > Create Workflow > From Scratch
- Select the contact-based option and choose the Blank Workflow radio button > then Next
- Choose the triggers that decide how a contact enters this workflow > Select "Setup triggers"
IE: if you want this SMS to only go to Bushmead contacts that are not purchasers, please make sure you select the deal properties option and search for Project Estate ID, then ensure that CRM Sales Status Reason is none of Proceeding, Conditional, Unconditional, Settled, Completed - Conversely, if you DO want to send to a list of Bushmead purchasers, you would use Project Estate ID = BUSH_ and from the Deal category, choose Amount is Known

- Next select contact properties on the right and choose the filter type "List Membership" and search for the list you have just created

- Add a new action by selecting the plus symbol
and scroll to the bottom to select Message Media
- Phone number: choose Phone (more reliable than Mobile phone - and ignore the reference in the GIF below that has Mobile Phone as the input)
- Sender ID: We now only have 1 number. Choose the following - Cedar Woods (Parent) - 0427092607. Please disregard any state-based numbers if they still appear for you.
- You can use the following for your Opt Out or Unsubscribe keyword
- QLD Marketing Unsubscribe / Opt-Out word = STOPQLD
- SA Marketing Unsubscribe / Opt-Out word = STOPSA
- VIC Marketing - Unsubscribe / Opt-Out word = STOPVIC
- WA Marketing - Unsubscribe / Opt-Out word = STOPWA
If you plan to send an SMS broadcast to a purchaser list, please make sure you use the Alpha Tag option.
- Workflow ID: We can use this to assist in reporting on Message Media's end. Use your Campaign name here, EG: BUSH_ May Purchasers 2023
- Text Message: Build the content here to suit your needs using the tokens to insert customer-related information
Please Note: you can use the state-based OptOut or a generic STOP
QLD Unsubscribe / Opt-Out word = STOPQLD
SA Unsubscribe / Opt-Out word = STOPSA
VIC Unsubscribe / Opt-Out word = STOPVIC
WA Unsubscribe / Opt-Out word = STOPWA - Image URL: leave blank for now (only needed for MMS messaging)
- Country Code: leave blank
- Owner: leave blank
- Save your workflow and choose the option to only enrol contacts after turning on
Enroll & Send
Send Your SMS Message
Step 3.
- When you are ready to send the SMS, choose Enroll and select the Enroll from List option
- Search for the list you have just created and Enroll. This will immediately send your SMS message to the list.
If you want to schedule your list to go at a certain time - EG: Tuesday morning at 11am, you can set that in the workflow by choosing the plus icon and selecting the day and time.
⚠️Please remember to turn off the workflow before the trigger day/time comes around again.
